1. Acceptance of Terms
By accessing and using Coachly ("the Platform"), you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use our services. These terms apply to all users, including athletes seeking coaching services and coaches offering their services through the Platform.
2. Services Description
Coachly is a platform that connects athletes with sports coaches. We facilitate the booking and payment process for coaching sessions but are not directly responsible for the quality or delivery of coaching services. Coaches are independent service providers, not employees of Coachly.
3. User Accounts
To use certain features of the Platform, you must create an account. You agree to:
- Provide accurate and complete information during registration
- Keep your account credentials secure and confidential
- Notify us immediately of any unauthorized use of your account
- Be responsible for all activities that occur under your account
4. Booking and Payment
When you book a coaching session through Coachly:
- Payment is processed securely through Stripe
- Prices are set by individual coaches and displayed in GBP (£)
- A non-refundable service fee (£2 flat) is added at checkout to cover payment processing and platform costs
- You will receive confirmation of your booking via email
- Session details including time, location, and coach contact information will be provided
5. Cancellation Policy & Service Fees
Service Fee
When you book a session, a non-refundable service fee (£2 flat) is added to your total at checkout. This fee covers payment processing costs and platform operations. The service fee is retained in all cancellation scenarios, as set out below.
Client Cancellations
- More than 24 hours before session: Your session price will be refunded in full. The service fee is non-refundable and will not be returned.
- Within 24 hours of session: No refund will be issued — neither the session price nor the service fee is returned. This protects coaches from last-minute cancellations.
- No-shows: Failure to attend without prior cancellation results in no refund.
Coach Cancellations
- If a coach cancels a confirmed session, the client will receive a full refund, including the service fee.
- A £2 cancellation booking fee per person affected will be charged to the coach and deducted from the coach's next payout.
- Repeated coach cancellations may result in account review or suspension.
We encourage athletes and coaches to communicate directly to reschedule whenever possible. Coaches may, at their discretion, offer to reschedule instead of cancelling outright.
6. Coach Requirements
Coaches using the Platform agree to:
- Provide accurate information about their qualifications and experience
- Maintain appropriate coaching certifications where required
- Hold valid public liability insurance
- Conduct sessions professionally and safely
- Respond to booking requests in a timely manner
- Honour confirmed bookings unless exceptional circumstances apply
7. Prohibited Conduct
Users of the Platform must not:
- Provide false or misleading information
- Harass, abuse, or threaten other users
- Use the Platform for any unlawful purpose
- Attempt to circumvent the Platform's payment system
- Copy, modify, or distribute Platform content without permission
- Interfere with the proper functioning of the Platform
8. Limitation of Liability
Coachly provides the Platform on an "as is" basis. We are not liable for any injuries, losses, or damages arising from coaching sessions booked through the Platform. Coaches are responsible for ensuring their sessions are conducted safely. We recommend that athletes assess their own fitness levels and consult medical professionals where appropriate before participating in physical activities.
9. Intellectual Property
All content on the Platform, including logos, text, images, and software, is owned by Coachly or its licensors. You may not use, reproduce, or distribute this content without our written permission.
10. Dispute Resolution
If you have a dispute with a coach or another user, please contact us at help@joincoachly.com. We will endeavour to help resolve the issue, though we cannot guarantee any particular outcome. For disputes involving payment or refunds, we will review the circumstances and make a determination in accordance with these Terms.
11. Changes to Terms
We may update these Terms from time to time. We will notify you of significant changes by email or through the Platform. Your continued use of the Platform after changes are posted constitutes acceptance of the updated Terms.
